A detailed look at the availability Panel - Generic booking

In this article we're going to take a very detailed look at the availability panel.  You use it all the time when you're making bookings, and there is an awful lot of information in there, so its worth understanding what's going on.  (N.B.  This is specifically for when you're running in GBAL* mode, which you will only do if you run your business in that way) 

When you search for availability for a given date range, it brings back your availability. If you're using generic booking it will look something like this:




Each row represents a 'generic' asset or Product Line - think of it as an SKU - a line that you're selling.   For example the highlighted row above is Mtn-M-L; large male mountain bikes.   You can see from the 'no' column that we have 3 of them.

If we take a closer look at the availability from the 25th to 26th, above, you'll see the purple and green 'cue-balls'.  These cue-balls are used to summarise activity on selected days.  You'll see there is a purple 1 and a green 1 on all the selected days.  This means:
  • purple 1 - there is 1 generic bookings for that date range.
  • green 1 - there is 1 specific booking for that date range
generic bookings have not yet been allocated, but green specific bookings have.  Indeed if we expand the generic we'll see the details that is contains, and when we search for availability again we'll see their availability:




you'll see that bike M5 has been allocated, (which is referred to by the green 1 cueball) whereas the other one has not yet been allocated. (as per the purple 1 cueballs).

You may also note that when a generic is full for a given time period its activity is surrounded in red.  However when its not full its surrounded by a green box.

*GBAL mode  = Generic Booking Allocate Later = this is an option of BRM whereby you can make bookings at the Generic level, and then only ALLOCATE specific bikes at a later stage. Only businesses with large fleets will want to run in this way.  But if your business is like that it is a very powerful feature.
