How To...: make a booking for a walk-in customer


scenario description:

a customer walks into the store and wants to reserve a rental bike.

scenario overview:


Part 1 - create reservation
  1. you're going to make sure you have bikes available for the customer
  2. you're going to get a quote, so you can tell the customer how much it will be
  3. if / when the customer wants to go ahead, you're going to enter the name, and save the reservation
Part 2 - check out bike
  1. then you're going to take payment
  2. then you're going to mark bikes as checked out.

detailed scenario instructions:

on the makeReservation page you're going to select the bikes and make a new 'reservation'.  Please follow the steps outlined here;

part 1 create reservation

  1. WHAT Pick the bike type / category (or type in an ID2)
  2. WHEN Choose the date(s) for the reservation.  (if you change dates be sure to press check availability)

  3. WHO Select your client.  Search existing or create new (or pick from self-registration or even lightspeed import)


4. WHAT - DETAIL Click on the row(s) corresponding to the size that the customer wants.  Note it won't let you select any that are not available for the required time period.

5. BOOK NOW -  you can change your reservation type too



You're DONE with part 1!! 


it will have created and saved your 'reservation' in the system.

Part 2 - check out the bike

Part 2 is all about advancing the reservation to 'checked out', and recording payment along the way.
Once you have finished with the Customer Details Dialog, you will be shown the Reservation Details Panel, showing your new reservation:



1. Click on the 'next stage' button highlighted above.*  This will advance your reservation to the next stage of its lifecycle more details about stages here
when you go to the next stage, BRM automatically checks to see if any money is owing on the rental.  By default it will ask for all rental money to be paid on checking out bikes.  So you will see the following dialog, asking you to take payment:

* N.B. the next stage button also shows you the current stage that the reservation is in.  For example in the above image, its 'confirmed' so it says 'confirmed next stage' on the button text.



N.B. BRM is not a payment processor - so you will use your existing payment processing mechanism to take payment (e.g. VISA / Checks / Cash etc).  Then you will:
2. record the amount & payment method in BRM.

3.  Then you must tell BRM specifically WHICH bike ID went out.  use the drop-down to select the specific bike that the customer has.
(   Up until this time the customer has reserved a bike type and size, now he/she is being assigned a specific bike. Each bike has a unique number assigned to it. That number is affixed to the bike and it is important to make sure that the number you assign matches the bike leaving the store. )

4. finally press the OK button to advance the reservation to the next stage - which is checked out - shown with a red arrow on a bike.

5. The last thing you need to do is to get the customer to sign your terms and conditions.  Do this by pressing the print button:
